Your reply is read by the next customer, not the reviewer

The person reading your reply is deciding right now, on the map, whether to visit. So a reply isn't an excuse — it's a short notice that says "this is how this business handles problems."

Apologize briefly, describe the fix concretely, end with an invitation. The lower the rating, the faster you reply.

The wait was too long (2 stars)

"Waited 40 minutes and nobody told us anything."

We're sorry you waited 40 minutes. Reservations piled up that day and we failed to tell walk-in guests how long it would be. We now announce the wait time at the door, and if it passes 20 minutes we bring drinks out first. Next time, we'll make sure you're not left waiting.

Staff were rude (1 star)

"The person taking orders had a terrible attitude."

We're sorry you left feeling that way. We went over what happened with the team member and reset how we greet and serve guests. No excuses. If you give us one more chance, we'll show you a different experience.

Food or product was poor (1 star)

"The pasta came out cold and too salty."

We're sorry we served you cold pasta. We checked the pass time and seasoning that same day, and now every plate gets a temperature check before it leaves the kitchen. Your note is what let us fix it. Next time, we'll get that plate right.

Cleanliness complaint (1 star)

"Sticky tables and a dirty restroom."

There's no excuse for cleanliness issues. We're sorry. That day we set fixed check times for tables and the restroom, and a checklist is now signed off every hour. You'll see the difference on your next visit.

Reservation or order was lost (2 stars)

"I had a reservation but they said there was no table, so we left."

We're truly sorry you came with a reservation and had to turn around. There was a gap in how we confirmed bookings; we now send a confirmation text on the morning of the reservation. If you're willing, we'll have your table ready ahead of your next visit.

Not worth the price (2 stars)

"For this price there are far better places."

Thank you for being honest. We take it seriously that the experience didn't match the price. If you can tell us what fell short, we'll look at it right away. We're keeping ingredients and portions as they are and working on the value you actually feel.

1-star rating with no text

You left one star and we don't know what went wrong, which is frustrating for us too. If you can share even one line about the problem, we'll look into it and fix it right away. You're welcome to tell us in person as well. We want to make this right.

A review that seems meant for another business

"Delivery took two hours." (a business that doesn't deliver)

We're sorry you had that experience. We don't offer delivery, though, so we're wondering if this might be a mix-up with another business. If it was indeed us, please tell us what happened and we'll look into it immediately.

Suspected fake or competitor review

A 1-star review with no visit on record and details that don't match

We looked into this, but the date and details you describe don't match our records. If you did visit, please share your receipt or visit time and we'll check and respond right away. We take every guest's words seriously.

Review in another language (tourist)

A 5-star review left in French: "Excellente cuisine, personnel adorable !"

Reply rules

5 rules that work for any review

1. Within 24 hours, lowest ratings first

Reply speed is visible to the next customer. A recent negative review sitting unanswered for days is the worst look.

2. Three sentences are enough

The longer it gets, the more it reads like an excuse. Acknowledge, act, invite. Anything more belongs in a conversation at the business.

3. Use one word that only exists in that review

A dish name, a staff member's name, the customer's own phrase. One is enough to prove it isn't a template.

4. Never ask for a rating change or a phone number

"Please update your rating" goes against Google's policies and reads worst to the next customer. Avoid asking for contact details in public too.

5. Report policy-violating reviews separately from the reply

Profanity, competitors, off-topic content: leave a calm reply, then report it to Google separately. Don't write "we will report this" in the reply.

Review replies: common questions

Do I really have to reply to negative reviews?

Yes. An unanswered negative review reads as "this business doesn't respond when things go wrong." One calm reply matters more to the next customer than the review itself.

How long should a reply be?

Three sentences, five at most. Apology, action, invitation. Save the detailed explanation for a conversation in person.

Can I edit a reply after posting it?

Yes — you can edit or delete it anytime in Google Business Profile. If you wrote it in a hurry, re-read it a day later and fix it.

Can a reply get a fake review removed?

No. Removal requires reporting the review to Google as a policy violation. Since the next customer sees it until Google decides, leave a calm reply in the meantime.
